AI capacity is not the same as cash saved
Your AI workflow might release 100 staff hours without reducing payroll. Calculate the value of released capacity separately from verified changes in monthly cash spending. No login or tracking.
Monthly assumptions
Measure against the same work volume and quality standard.
Include additional subscriptions, usage, monitoring and support not counted elsewhere.
Exclude redeployed staff hours and any reductions already entered above.
Two separate scorecards
Cash spending rises $400.00 per month in this hypothetical scenario.
Cash savings = verified reductions in overtime, contractors and other spending minus incremental AI costs. A negative result means spending increases. Released capacity is an opportunity measure, not an additional cash saving.
How to use the result
In the starting hypothetical example, 100 released hours at $36 per hour represent $3,600 of potential capacity value. Payroll and outside spending remain unchanged, while AI costs $400 per month. The net cash outcome is $400 of additional monthly spending, not $3,600 saved.
In the alternative hypothetical example, verified overtime spending falls $1,000 per month and AI costs $400. Net monthly cash spending falls $600. Do not add the $3,600 capacity figure to the $600 cash figure. Check whether the same hours drove both estimates.
Before approving a project, verify a documented pre-AI baseline, accepted output quality, the source of every spending reduction, implementation costs, and whether released hours are redeployed to measurable work. Capacity and cash outcomes serve different decisions.
